Requirements
Applicants must have:
- A National Diploma (NQF Level 6) in Public Management, Office Management, or a relevant qualification in the related field recognised by SAQA.
- At least 2 years’ experience in office management and administration.
- Knowledge of administrative and procurement procedures.
- Understanding of Public Service procedures and prescripts, including the Public Finance Management Act (PFMA) and Treasury Regulations.
- Knowledge of LOGIS and BAS.
- Computer literacy.
- Planning and organising skills.
- Strong communication, listening and writing skills.
- Good interpersonal relations skills.
- Ability to compile spreadsheets and prepare budgets.
- Ability to compile reports.
- Ability to gather and analyse information.
- Ability to work independently and as part of a team.
Key Responsibilities
The successful candidate will be responsible for providing comprehensive administrative and secretarial support to the DDG’s Office. Duties include:
- Managing the DDG’s diary effectively.
- Providing general administrative support to the DDG’s Office.
- Consolidating and aligning monthly reports.
- Assisting with Parliamentary Questions, referrals and quarterly reports.
- Responding to ad-hoc requests for information and inputs.
- Receiving and distributing documents.
- Consolidating and submitting claims.
- Administering leave.
- Providing document management support.
- Distributing documents to the relevant destinations.
- Drafting internal and external memoranda, submissions and presentations.
- Managing incoming and outgoing correspondence.
- Providing logistical support services.
- Coordinating travel arrangements for the DDG.
- Submitting advance requests to Finance when required.
- Coordinating logistical arrangements for meetings and workshops.
- Providing client liaison services.
- Screening telephone calls and managing emails.
- Providing information relating to departmental policies and strategies.
