REQUIREMENTS: Applicants must have a Grade 12 Certificate.
No prior experience is required. Job-related knowledge includes understanding of clerical duties, practices, the ability to collect data, use a computer, and gather statistics. Applicants should also have knowledge of the legislative framework that applies to the Public Service and be familiar with working procedures in the given environment. Job-related skills include language proficiency, strong verbal and written communication skills, planning and organisational abilities, computer literacy, good interpersonal relations, flexibility, and the ability to work effectively within a team.
DUTIES: Provide general clerical support.
This includes recording, organising, storing, capturing, and retrieving correspondence and data. Update registers and statistics. Handle routine inquiries. Make photocopies and send or receive faxes. Distribute documents or packages to relevant stakeholders as needed. Maintain the filing system for the department. Type letters or other correspondence when required. Keep track of incoming and outgoing documents. Provide support for supply chain activities within the department. Communicate with internal and external stakeholders regarding the procurement of goods and services. Obtain quotations and complete procurement forms to purchase standard office supplies. Manage stock of office stationery. Maintain the asset register for the department. Provide support for personnel administration within the department. Maintain a leave register, keep personnel records, and track attendance. Arrange for travel and accommodation. Offer financial administration support, including recording and updating expenditure in the department. Verify the accuracy of subsistence and travel claims from officials and submit them for manager approval. Handle telephone accounts and petty cash for the department.
